The Assigned Task Dashboard displays all tasks (forwarded message tasks or non-message tasks) along with statuses that the practice can use to manage the progress of the tasks towards completion.
1. What is the Assigned Task Dashboard?
The Assigned Task Dashboard displays a comprehensive list of tasks. These tasks can be:

- a. Forwarded message tasks: Created when a message from a patient conversation is forwarded as a task.
- b. Non-message tasks: Created directly from the dashboard or the Home Page's My Queue for general follow-up or assignments.
The dashboard provides statuses and other details to help your practice workflow.

The dashboard columns provide key information about each task:

A. Status | Indicates the current state of the task in your workflow (e.g., Assigned, Completed). An "Assigned" task is counted in the tab badge counter. All new tasks created will appear on the top of the list with an "Assigned" status by default. |
B. Task Title | The main name or subject of the task. |
C. Assignees | The staff member(s) responsible for completing the task. Can be multiple assignees to the same task. |
D. Status Change Date | Displays the date when the task's status was last changed. Displays the latest Change Date value from the Task Status Change Log. This field is blank if there is no entry yet in the Task Status Change Log. |
E. Status Change Date | Shows the user who last changed the task's status. Displays the latest Changed by value from the Task Status Change Log. This field is blank if there is no entry yet in the Task Status Change Log. |
F. Task Creator | The user who initially created the task. |
G. Origin | Indicates where the task originated |
1. Patient Conversation | The task is a forwarded message from a Patient Conversation. |
2. Homepage | the task was created (non-forwarded message) from the Assigned Task Dashboard or from the My Queue on the Home page. |
H. Creation Date | The date when the task was initially created. |
4. Task List Arrangement:
- a. By default, the task list is arranged in descending order by Creation Date, with the newest tasks appearing at the top and descending to the oldest at the bottom.
5. Additional Dashboard Features:
The Assigned Task Dashboard includes several features to help you manage your tasks:
- a. "Create new task" Icon: Located on the far left on the top Nav bar. Upon click, it opens the New Task modal to create a non-message task.
- b. Filters: Use the dropdown filter located above the task list.
- i. Filter by Creation Date: Options include "All" (default), "Today", "Yesterday", or "Custom Dates". The default is no filter (show all).
- ii. Arrangement is newest at the top and descends to oldest based on Creation Date.
- c. Filter by Status: Located above the task list.
- i. Default: Assigned is ON. Completed is OFF, showing only active tasks.
- ii. You can toggle these filters to view tasks by status.
- d. Columns selector: An icon that allows you to hide or unhide columns.
- i. You can choose which fields to display, including Assignee, Status Change Date, Changed By, Task Creator, Origin, Custom Date.
- ii. By default, "Status Change Date" and "Changed By" are hidden (OFF). The others are ON.
- e. Logs icon: Clicking this icon for a specific task opens the "Task Status Change Log modal".
- i. It identifies when a task’s status has changed and who changed it.
- ii. The first log entry for a task is created when the task’s status is changed for the first time.
6. Changes on the Home Page (My Queue):
The Home Page's "My Queue" section has been updated to better display and manage assigned tasks:
- a. Task Header Title: The title displayed on the task tile in the My Queue should be the Task Title name for tasks created from both the Home Page and from Patient Conversation.
- b. Status Display: Add Status on the task tiles.
- c. Last Updated Information: Next to the Status, add:
- i. Text “Last updated at” + latest Status Change Date value.
- ii. Text “by” + latest Changed by value.
- d. Ellipsis (...) Menu: Located on the top-right of the task tile. Clicking this opens a dropdown menu with action options:
- i. For tasks created from Home Page My Queue or Task Dashboard:

- Mark as Completed: Upon click, it updates the task’s Status to "Completed", and the task no longer displays in the My Queue.
- See task details: Upon click, it opens the Edit Task modal (same as the Task Details modal).

- ii. For tasks created from a forwarded message in Patient Conversation:

- Mark as Completed: Upon click, it updates the task’s Status to "Completed", and the task no longer displays in the My Queue.
- View in the Conversation: Upon click, it opens the original patient conversation in the middle panel of the Home Page.
- See task details: Upon click, it opens the Edit Task modal (same as the Task Details modal).

7. The New Task Modal and Task Details Modal:
These modals are used for creating new tasks and viewing/editing existing task details.

a. Where to open the New Task modal:
- i. Click the "Create New Task" (plus icon) on the Assigned Tasks Dashboard navigation bar (far left).
- ii. Click the "Create New Task" (plus icon) on the My Queue section on the Home Page (far right).

b. Elements in the New Task Modal:
- i. Title field (text input):

- If task was created from Patient Conversation, default text is the Patient Name of the Patient Conversation.
- If task was created from Task Dashboard or My Queue, default text is "Title".

- ii. Task description field (text input):

- If task was created from Patient Conversation, default text is the message from the Patient Conversation that was forwarded as an assigned task.
- If task was created from Task Dashboard or My Queue, default text is "Enter task details here."

- iii. Assignees display (labels): Displays the names of the staff that were selected as assignees. Display order is first by last seen time (e.g. “45 minutes ago”, “3 days ago”) and second by alphabetical order of Staff last name.
- iv. Select Staff section:

- Search field: Used to search among the practice’s staff list.
- Staff list: Displays all the staff on default. Will filter according to inputs in the Search field. Each staff name has a checkbox circle on the right. Upon click, the staff is selected as an assignee for the task. Selecting a staff also displays the staff’s name in the Assignee section. Display order is first by if staff was selected as an assignee or not, second by last seen time, and third by alphabetical order of Staff last name.

c. Where to open the Task Details modal:
- i. On the Task Dashboard, upon clicking the Task Title of a task.
- ii. On the My Queue, clicking a task ellipsis to open its dropdown, and clicking “See task details”.
- iii. In the conversation between the Assignee and the one who assigned the task, upon clicking “View Details”.

8. Patient Conversation Changes:
- a. On the ellipsis pop-up menu on a patient conversation, the option to forward a message has been renamed from "
Forward message..
" to "Forward (Assign as a task)
".
9. About Multi-select Assignees:
- a. Just like how when one staff is assigned to the task, where it opens a chat between the assignee and the one who made the assignment, for multiple assignees, they will each get individual chats with themselves (as one of the assignees) and the one who made the assignment.
